Choosing the Equine Record Keeping System That's Best for You!

There's no doubt about it. The cost of living is not going to level off in the foreseable future. So what's a horse owner to do? It's tough enough supporting your family, securing affordable health insurance, keeping a roof over your head, paying your taxes and if you add a horse to the mix, it's another roof, another mouth to feed, another medical expense!

Any ecomomist will tell you the best way to manage your finances is to keep good records. You should be able to see what's coming in and what's going out on a monthly basis. The same goes for health records.

When was the last time you or your family had a check up or went to the dentist?
When you own a horse, the need to know this information is the same: When was the farrier by? Are Belle's shots up to date? Who owes me money and whom do I owe?

The best way to keep track of all this stuff is to get yourself a good record keeping software. But which one? Which system is going to keep track of all of Belle's health and scheduled services and farrier visits? If you own a boarding and breeding facility, how many horses do you care for? How many clients are you billing? Are there several owners of one horse?

There are so many systems out there right now, how do you choose the right one for you? If you go to Google, type in the phrase: "horse software" and you will see page upon page of software companies telling you they are the best choice. But of course they're going to tell you that! They want your business!

Here's how to choose:

How long has the company been in business? If the company has been around for a few years, you can bet they're doing something right!

Do they offer FREE DEMOS of their program? If they do, take advantage of it. Check out it's ease of use. Can you click from one feature to another, easily add data and look up a complete record? Can you print out reports? Is there an easy back up system that let's you protect all those hours of recording your data? If your computer crashes, will all your data be lost with it?

What features are you looking for in your program? Do they offer different levels, suitable to your needs? In other words, if you only own one or two horses, you're not going to want to pay for an accounting system. If you just want to maintain an expense record and an appointment calendar, you don't want to pay for a system that offers several user licenses!

On the other hand, if you own a ranch, you want lots of features! If you maintain employee records, you don't want those employees having access to each other's pay scale, social security number and evaluations!

You may want to set up a log in password for different levels of employees and you may be on a network where you need several people entering different data at the same time.

Maybe you don't have all those issues, but you do have accounting experience or employ a bookkeeper at your facility. You may need breeding features, training contracts, etc. Only you know what you need to keep the most efficient records. If a company doesn't offer what you need, don't settle!. Reputable companies will not talk you into a program that's not suitable to your needs, nor will they talk you into more program features than you need.

Last but not least, check their pricing. Can you see the pricing without searching all over their website for it or do you have to call them to find out how much their software costs? I am always leery about this practice. If they're afraid their prices are going to scare me off before they can talk me into buying .... I avoid going any further!

Keep in mind, the most expensive is not always the best. Sometimes the most expensive is just that ... expensive! And cheaper doesn't always mean economical ... sometimes cheaper is simply, cheap!

Find a middle ground. I've seen prices as low as $50 and as high as $3500! Yep... that's right ... that's three thousand, five hundred of your hard earned dollars. If you can afford that, my hat's off to ya! But do make sure you get every penny's worth!
